When a PDF is all the bank will give you
Bank feeds stop working. Accounts get closed. A new client arrives with eighteen months of PDF statements and nothing else. Online banking usually only offers QuickBooks downloads for the last 90 days, if it offers them at all. Re-typing transactions from a PDF is slow and error-prone; converting the statement gives you the same data in minutes, with the balances checked for you.
How the conversion works
A digital PDF statement contains real text with a position on the page. The converter rebuilds the lines and columns, finds the column headers (date, description, withdrawals, deposits, balance), and reads each line that starts with a date as a transaction. Lines underneath that continue a description, such as the second line of an ACH entry, are joined to it. Section headings like Deposits and additions, Checks paid or Fees tell it whether an unsigned amount is money in or money out, and summary blocks such as Daily ending balance are skipped.
Statements often print dates without a year. The year is taken from the statement period, so a December transaction on a statement ending in January gets the previous year. When the statement shows a running balance, every amount is checked against it and its sign corrected if needed.
Checking the result before you export
The review screen shows the opening and closing balances found on the statement and the result of opening balance + transactions = closing balance. If they agree, you know nothing is missing. If not, you'll see the difference and the rows that look wrong. You can:
- correct a date, a description or an amount directly in the table;
- flip the sign of a transaction with one click;
- delete a line that isn't a transaction, or add one the PDF didn't expose;
- adjust the account type, period, balances and account number used in the file.
How to import the QBO file into QuickBooks Online
- Go to Transactions > Bank transactions.
- Open the Link account menu and choose Upload from file.
- Drag in the .qbo file and select the QuickBooks account it belongs to. Bank statements go into a bank account, card statements into a credit card account.
- Continue, review the transactions in the For review tab, then categorize and add them.
How to import into QuickBooks Desktop
- Choose File > Utilities > Import > Web Connect Files.
- Select the .qbo file. QuickBooks asks which account to link it to; pick the existing account or create one.
- Open the Bank Feeds center to review and add the transactions.
QuickBooks remembers the account number in the file. Use the same account number every time you convert statements for that account so they all land in the same place.
Supported statements
- Checking and savings with a running balance column, or with separate withdrawal and deposit columns.
- Sectioned statements that group deposits, checks, electronic withdrawals and fees, including the checks-paid table with check numbers.
- Credit cards with transaction and post dates, where purchases appear as positive amounts and payments as negative or in parentheses.
- Date styles such as 01/05, 01/05/26, 01/05/2026 and Jan 05; amounts with $, commas, minus signs, trailing minus or parentheses.
Statements from some banks have their own template, tested on real statements: Chase, Bank of America.
