From statement to Quicken register
A digital PDF statement holds real text at known positions on the page. The converter rebuilds each line, finds the columns (date, description, withdrawals, deposits, balance), and joins descriptions that wrap onto a second line. Statements that list deposits, checks and withdrawals in separate sections are read section by section, with the sign taken from the section.
Dates printed without a year get the year from the statement period, so a December transaction on a statement that ends in January isn't put in the wrong year.
What to check in the review step
- The balance line. Green means the transactions add up to the change in balance. A difference usually points to a transaction split across a page break or a misread sign.
- Account type. Card statements should be set to Credit card, so purchases increase what you owe in Quicken.
- Account number. Use the same last digits for every statement of the account. Quicken uses it to send later files to the same register.
- Descriptions. Quicken shows the first 32 characters as the payee; the full text is kept in the memo.
Importing into Quicken
On Windows, use File > File Import > Web Connect (.QFX) File. On Mac, use File > Import > Bank or Brokerage File. Link the file to the existing account, then accept the transactions from the review list. If you import statements for consecutive months, import them oldest first so running balances read naturally.
Statements that work best
Original PDFs downloaded from the bank's website work best. Statements printed to PDF from a browser usually work too. Photos of paper statements and scans need text recognition, available on paid plans, and deserve a careful comparison before you import.
