Why spreadsheets are a common starting point
Many banks offer an Excel export alongside CSV. Bookkeepers also receive transactions in spreadsheets from clients who track cash spending by hand, from payment platforms, or from previous accountants. QuickBooks Desktop can't import those directly, and QuickBooks Online's CSV upload is picky about layout. Converting to QBO turns any reasonably clean sheet into a file that imports in one step.
Preparing the sheet
The converter is tolerant, but a few habits make it effortless:
- One transaction per row, with a single header row above the data. Title rows above the header are fine; they're skipped.
- Dates as real dates. Excel date cells are read exactly. Text dates in US format (01/05/2026) also work.
- Amounts as numbers, either one signed column (negative for money out) or two columns for debits and credits.
- No merged cells in the transaction area. They can shift values into the wrong column.
How the workbook is read
The file is opened in your browser. The first sheet with data is selected, the header row is found, and each column is matched to its role from its name or its contents. Cells keep their real type: a date cell stays a date, so there's no risk of 03/04 becoming April 3rd, and a number cell keeps every cent. If the detection is unsure, the column matching panel opens with a preview of the first rows.
From workbook to QuickBooks
- Drop the workbook and confirm the sheet and columns.
- Enter the opening and closing balances if you have them, so the converter can check the total.
- Download the QBO file.
- In QuickBooks Online, go to Transactions > Bank transactions > Link account > Upload from file. In QuickBooks Desktop, use File > Utilities > Import > Web Connect Files.
Large workbooks
A year of transactions for a busy account can produce a QBO file over QuickBooks Online's 350 KB limit. The converter splits it into consecutive date ranges automatically and explains the order to import them in. QuickBooks Desktop has no such limit, but the split files work there too.
