Why send a PDF instead of a Word file
- It looks the same on every device, whatever fonts the reader has.
- Nobody can edit it by accident, which matters for invoices, letters and signed engagement terms.
- Portals and e-signature tools usually expect PDF.
To send several documents as one file, convert them, then combine them with Merge PDF.
Doing it in Word
In Word, File > Save As and choosing PDF gives the same result, with an option to create bookmarks from headings. Use this converter when Word isn't installed, when you're on a phone, tablet or Chromebook, or when a client sends a .docx you need to forward as a PDF right away.
Before you convert engagement letters and reports
- Accept or reject tracked changes and delete comments: the PDF shows the document as it's displayed, and comments may appear in the margin.
- Update fields such as the date and the table of contents (select all, then F9 in Word) so the PDF shows current values.
- Check page breaks around tables, so a table's header isn't left alone at the bottom of a page.
Adding the PDF to a package
Combine the converted letter with statements or schedules using Merge PDF. For spreadsheets, Excel to PDF produces a matching table layout without any upload.
