Every bank's CSV is different
One bank exports Posting Date, Description, Amount, Type, Balance, newest first. Another puts three lines of account details above the header. A card issuer exports purchases as positive numbers. A credit union uses semicolons and Windows-1252 characters. The converter handles each of these automatically and shows you what it understood before anything is written.
What happens when you drop a file
- Reading: the character encoding (UTF-8, UTF-16 or Windows-1252) and the delimiter are detected.
- Finding the header: the first 30 rows are scanned for a row that looks like column names, so preamble lines are skipped.
- Matching columns: header names like Trans. Date, Payee, Withdrawals or Running Bal. are recognized. Without a header, columns are recognized from their contents.
- Confidence: if anything is uncertain, the column matching panel opens so you can confirm it. Otherwise you go straight to the review.
Reviewing before export
The table shows every transaction with its date, description and amount, all editable. When the CSV has a running balance, the opening and closing balances are calculated and each row is checked against the previous balance, so a misread amount stands out immediately. Possible duplicates, such as two identical transactions on the same day, are flagged but kept, because they're often real.
Importing the QBO file
QuickBooks Online
Open Transactions > Bank transactions, choose Link account > Upload from file, drop the .qbo file and pick the account. There's no column mapping step for QBO files.
QuickBooks Desktop
Use File > Utilities > Import > Web Connect Files and link the file to the right account. Desktop doesn't import bank CSVs directly, which makes QBO the simplest route.
Tips
- Download the CSV directly from the bank and convert it as is. Opening and saving it in Excel first can change dates and drop leading zeros.
- Keep the same account number in the review screen for every conversion of the same account, so QuickBooks keeps linking the files to it.
- Got several monthly CSVs? Combine them with Merge CSV files first, then convert once.
- Need a CSV for QuickBooks Online instead? Choose the 3-column or 4-column QuickBooks CSV in the download step.
