Privacy Policy

The short version: your bank files are processed on your own device and never reach us. We only keep what we need to run your account and bill your subscription.

Last updated: November 4, 2026

1. Your files stay on your device

Every BookkeepKit converter, file tool, template and calculator runs in your web browser. When you open a PDF, CSV, Excel, QBO, QFX, OFX, QIF or IIF file, it is read and processed locally by JavaScript on your computer or phone. The file's contents, the transactions extracted from it, and the files you download are never transmitted to, or stored on, our servers.

You can check this yourself: open your browser's developer tools, select the Network tab and convert a file. No request will contain its data. Once a page has loaded, the tools keep working offline.

One exception: document conversions. The PDF to Word, Word to PDF, PDF to PowerPoint and PowerPoint to PDF tools need a full office engine, which can't run in a browser. On those four pages only, the file you choose is sent directly from your browser to our conversion partner CloudConvert, converted, and deleted after conversion. It doesn't pass through or get stored on our servers. These pages say so next to the file picker.

Some tools remember your settings (for example, your preferred export format) in your browser's local storage. That information stays on your device and you can clear it at any time from your browser settings.

2. What we collect

If you only use the free tools

We don't ask for an account or any personal information. To count free conversions for visitors who aren't signed in, a counter is kept in your browser's local storage. It is not sent to us.

If you create an account

  • Account data: your email address, and your name and profile photo if you sign in with Google. Sign-in is handled by Google Firebase Authentication.
  • Usage counters: the number of statement pages you convert each day or billing period, so we can apply your plan's limits. We record the count only, never file names or contents. For document conversions, we count conversions per day by account or, when you're signed out, by a one-way hash of your IP address.

If you buy a plan

Payments are processed by Paddle.com, our merchant of record. Paddle collects your payment details, billing address and tax information under its own privacy policy. We receive your subscription status, plan, renewal date and the country used for tax purposes. We never see or store your card number.

Analytics and logs

We count visits ourselves, without cookies and without storing anything in your browser. To count unique visitors, our server computes a one-way code from your IP address, your browser type and the date. It changes every day, can't be turned back into your IP address, and is deleted after two days. We keep only totals: pages visited, the website that sent you (such as "google"), the type of device (phone, tablet or computer) and how many people are on the site at the moment. We also count anonymous events such as "a tool was used" or "a file was downloaded", without any file name or content. We don't track you across sites or build a profile of you. Our hosting provider, Vercel, processes standard technical logs (IP address, browser type, requested URL) to deliver the site and protect it against abuse.

3. Cookies

We don't use advertising or tracking cookies. If you sign in, Firebase stores an authentication token in your browser so you stay signed in. Paddle may set cookies needed to complete a checkout. That's it, which is why you won't see a cookie banner.

4. How we use your information

  • To provide your account and apply your plan's limits.
  • To send messages about your account, such as receipts, sign-in links and important changes. No marketing emails without your consent.
  • To keep the service secure and to understand which tools are useful.

We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.

5. Service providers

  • Vercel Inc.: website hosting and serverless functions.
  • Google (Firebase Authentication and Firestore): sign-in, account data and the visit totals described above.
  • Paddle.com: checkout, billing, tax and invoicing.
  • CloudConvert (Lunaweb GmbH): document conversions on the PDF to Word, Word to PDF, PDF to PowerPoint and PowerPoint to PDF pages only. Files you convert there are sent to CloudConvert, processed, and deleted after conversion; the download link expires after 24 hours. Statement converters and every other tool run in your browser and never use this service.

Each provider processes data only to perform its service for us.

6. Retention

Account and usage data are kept while your account is open. If you delete your account, we delete this data within 30 days, except billing records that we or Paddle must keep for tax and accounting law.

7. Your rights

Depending on where you live, including California under the CCPA/CPRA, you can ask to access, correct, delete or receive a copy of your personal information, and to opt out of any sale or sharing (we don't do either). Email support@bookkeepkit.com. We'll answer within 30 days and won't treat you differently for asking.

8. Children

BookkeepKit is a business tool and isn't directed at children under 13. We don't knowingly collect their information.

9. Changes

If we change this policy in a meaningful way, we'll update the date above and, if you have an account, tell you by email before the change takes effect.
